Overview

 

HubSpot is a scheduling app designed for the Santa Cruz Mountain Art Center (SCMAC) in a student & organization partnership. SCMAC tasked us with researching ways to increase productivity and attendance with their organization. Hubspot helps solve the miscommunication and scheduling issues the organization was having with its staff and volunteers.

The Problem

 

Miscommunication and scheduling conflicts among staff and volunteers at the Santa Cruz Mountain Art Center resulting in low attendance rates.

The Solution

 

Design an app for the Art Center making requesting and signing up to volunteer easier, eliminating the miscommunication issues between staff and volunteers.

Design Process

Story boards

We started off our design process by making storyboards for how our users will use the app. We focused the storyboard on how the app will function and benefit the Art Center. We used this throughout our design process as a reference to make sure what we are producing is what’s best for the Art Center.

User Flow

After interviewing multiple people from SCMAC and settling on creating a volunteer scheduling app we created the user flow. We learned the average age group for the Art Center was 60+ and needed to have the app very user-friendly and straightforward. The user flow made it clear splitting the app into 2 sides, one for the staff and the other for volunteers, was crucial so the users do not get mixed up on signing up to volunteer and requesting one. It also made it easy to understand how each screen connects with each other and how the users will interact with each step of the process.

Sketches

After creating the user flow for the app we collaborated on making sketches for how the app will look and function. Having these sketches helped us have a foundation while moving forward in the design process and made collaborating on how each feature functioned easier.

From the sketches, we moved onto creating a low-fi prototype of the app. I helped create the volunteer request sheet and the view event screens. After all the screens were designed they were presented to each other to critique and get tested by users focusing on the functionality of the app. The testers enjoyed how there were 2 sides to the app and how it is very easy to navigate. They gave vital feedback we later used in the final designs of the app.

  4. Made text easier to ready for our target audience (age 60+)

  5. The color scheme is matched to the Santa Cruz Mountain Art Center

Validation Test

 

We presented our final designs to the Santa Cruz Mountain Art Center and they loved it. They loved how we did our research by taking initiative interviewing active members and staff, solved their miscommunication and scheduling issues, and enjoyed how simple and easy to use the app was especially because it was something their members can easily use, being 60+ years of age. The Art Center chose to put HubSpot into active development.

Whats next?

 
  • HubSpot designs and findings were given to the Santa Cruz Mountain Art Center to be put into active development.

  • Make a clearer distinction between editing volunteer requests and making a request on the staff side.

  • Clean up visuals (Iconography, typography, and layout)

Takeaways

 

Working with an organization was a great learning experience. I learned how to do proper user research and turn the findings into actionable solutions, collaborateing on a product end to end, and present our designs, process, and reasonings to stakeholders. This partnership strengthened my passion and confidence as a UX Designer and Researcher especially after having my project selected for active development.
